How to Successfully Onboard an Executive Assistant (Even if You’re Still Figuring Things Out)

Why Onboarding Matters More Than You Think

Hiring an executive assistant is often a move that signals growth. But it’s also a moment where everything can fall apart, not because you hired the wrong person, but because you gave them the wrong start.

The best assistants don’t need hand-holding, but they do need direction. Onboarding doesn’t have to be perfect, just intentional.

1. Start with something, even if it’s scrappy

Your assistant doesn't need a 50-page manual. But a simple folder with:

  • SOPs (or bullet points of how you usually do things)

  • Loom or screen recordings

  • Passwords and logins (via a password manager)…can save hours of back-and-forth.

Even if you're still creating systems, involving your assistant in this process can be part of the onboarding.

2. Set clear short-term expectations

Break it down like this:

  • Week 1: Learn tools, meet the team, manage inbox

  • Week 2-3: Begin owning calendar + task tracking

  • Week 4: Start improving or documenting small systems

This creates clarity for both sides, and helps you avoid the “they’re not doing what I expected” trap.

3. Help them build real working relationships

It’s not enough to just introduce your assistant to the team.

Make it clear:

  • Who they’ll work closely with

  • How those people like to communicate (Slack? Email? Calls?)

  • Any unspoken team dynamics that matter

Bonus: Have 1:1 intros or short “coffee chats” scheduled during week one.

4. Encourage questions and make feedback safe

Let your assistant know they can ask questions without fear. In fact, encourage them to!

Also: give feedback early and often, don’t wait 3 months to say something you noticed on day 3.

Final Thoughts

A good onboarding doesn’t take months to build, it takes one intentional week to set the tone.

You don’t need to be perfect. You just need to show your assistant they matter, and that their success is your success.
